Role objective:
To support the Business Manager in the day-to-day operations of Infraco’s consultancy business.
Overview of Role:
As the result of the company’s success, we are developing our back-office support team under the management of the Business Manager. In this exciting role, you will provide high levels of support to ensure the smooth running of the ‘virtual’ office, including the maintenance and administration of Infraco’s records, systems, and processes.

This role is predominately remote working (around 4-5 days a month working in a centralised location with the Business Manager), so you need to be a self-starter and be able to manage and prioritise your workload. It is important that you recognise that you are part a team and find ways to be ‘visible’ to the team. There is the likelihood that this role will be full-time office-based in the future.
Key Responsibilities and Accountabilities:
We require an experienced and competent individual to be the undertake various tasks in the following areas, this is not an exhaustive list:

General Administration:

In line with Infraco’s Quality Assurances policies and procedures, maintain internal records as required, including input into databases and systems, the maintenance of electronic office records and filing systems. (E.g., Supplier and training databases).

To maintain Infraco’s CV repository. Ensuring that staff CVs are up to date and in the correct format and that CVs of potential candidates for Infraco roles are updated.

Close working with resourcing team as required on specific tasks.

Maintain and update Infraco’s Organisation Chart.

Purchasing of office supplies and liaising with IT for new starters.

Onboarding and Offboarding of employees
-
To administer the timesheet system and monitor that weekly timesheets and expenses are completed on time.

To assist, when necessary, in the maintenance of financial records, including petty cash, travel & subsistence, car hire and travel tickets.

Organise internal meetings and staff social events.

Book meeting rooms and/ or office space as required for the Senior Management Team (SMT)

Minute-taking as required

To receive incoming calls on behalf of Infraco

Compose correspondence, letters, and emails
-
Assist the Data Protection Officer (DPO) as required
-
Diary-management as required for Senior Partners as well as travel arrangements

Produce marketing materials and presentations

Ad-hoc administrative support to Senior Partners as required

HR Administration:
-
Oversee and maintain HR mailboxes
-
Record and maintain leave as well as company and individual training records
-
Maintain tracker databases (e.g., Personnel, Performance & Development Review (PDRs))
-
Issuing employment contracts to new starters and ensuring that required documentation and received on time, recorded, and sent to payroll.

Ad-hoc HR Admin as required during the employee life cycle

Maintaining employee benefits records and updating third parties as required.

Ensure Senior Management Team is aware of starters and leavers dates

Maintain highest levels of confidentiality
Core Qualifications and Skills:
-
Qualification or Certificate and/or demonstratable experience in Business Administration.

English & Maths GCSE (or equivalent).
​Previous Experience and Skills:
-
Demonstrable experience in providing comprehensive administration support in a similar role.

High level of attention to detail with the ability to input onto databases accurately and in a timely manner.

Highly organised and able to work methodically and in line with relevant systems and procedures.
-
Ability to deal with sensitive information with discretion and to maintain confidentiality.

Able to competently use a wide range of Microsoft Office packages; in particular, Word, Excel, PowerPoint, and Outlook.

Ability to work on own initiative and to organise and plan own workload.
-
Excellent interpersonal and communication skills whether in person, telephone, video call or in writing.
